FILEstream Document Management Software

FILEstream Ltd is a Berkshire-based specialist developer and distributor of its own FILEstream Document Management software.

FILEstream Ltd has a close relationship with Panasonic Business Systems, and its FILEstream document management software has been developed with the involvement of Panasonic.

FILEstream is available as a standalone or networked solution. It is an electronic filing system using virtual cabinets that will accommodate paperwork as scanned images, as well as existing electronic file types. Over 300 file formats can be viewed within FILEstream even if the associated application is not resident on that PC.

Emails and any attachments can be imported directly into FILEstream via an Office add-in feature. Other document types can be created and captured by FILEstream as long as the application is present

The system offers flexible indexing, with user-designed cabinets and supports search and retrieval with both simple and advanced search capabilities.

Users can set up any number of cabinets, each with its own indexing criteria, giving FILEstream an almost unlimited capacity. Searches can be run on individual cabinets, or across several selected cabinets.

OCR capability means that the contents of entire documents can be indexed and searched.

The barcode module makes it possible to create and read barcodes, supporting high-speed indexing of barcoded documents.

Self-contained searchable CDs can be made for users that do not have FILEstream on their PCs.

A workflow / document routing module has been produced to enable documents to be passed from User to User as part of document processing such as invoice approvals. No unnecessary copies are made.

A web module enables users to search, retrieve and index documents over the internet.

The system contains a number of other useful features, such as the ability to add signatures, customised stamps, reminders and notes to documents, appending pages, sending documents to other users, etc. These are more fully described in the Features and Specification document available at www.filestreamsystems.co.uk.

Permissions are flexible, and are allocated by user group. In terms of audit trails, a document history records any activity related to a document. The Revision History keeps copies where physical changes have been made.

FILEstream uses industry standard Microsoft technology including MS SQL and.net framework. It runs on SQL Express for up to 10-user systems, and on MS SQL Server for networked systems of 10 or more concurrent users. A Windows operating environment such as XP or Vista is required.

An API toolkit is available for those IT departments wishing to write customisations, and FILEstream also writes customisation modules to order for user companies.
