Document Imaging: Wichita Deploys eCopy Document Imaging Software With Ricoh Manufactured MFPs In Every City Government Department
The City of Wichita, Kan. government has deployed eCopy document imaging software embedded on Ricoh multifunction products (MFP) across its departments to improve office productivity. As a result, the city is increasing public access to e-government records and speeding office workflows by converting large volumes of paper-based information into secure digital documents.
eCopy document imaging software is used on 95 Ricoh MFPs in more than 20 city departments ranging from finance and the city clerk to police and fire. The city has connected eCopy with office workflow tools including email, fax and document management. This integration allows workers to email or fax scanned documents and save documents in the city's Laserfiche electronic document management repository -- all with a simple push of a button while at the MFP. "Our eCopy Connectors to Laserfiche and Captaris RightFax provide integration to these office productivity tools, which we use in almost every city office," said Melinda Walker, purchasing manager for the city of Wichita government. "The Connectors streamline workflows by allowing any city worker to add documents directly to applications that keep office processes moving, improving our productivity."

"Our city government buildings have space constraints and running eCopy inside our Ricoh manufactured devices without the need for additional hardware saves us valuable office space. Also, converting paper records to digital documents has reduced the number of file cabinets we need in our offices, freeing up more room," said Walker.

Now, we can distribute scanning across all MFPs, significantly increasing document capture accessibility. Another important capability for the city was eCopy integration with the Equitrac cost recovery application. This connection allows the city to track the document scanning volume at all MFPs, allowing charge-backs for scanning costs to the over 600 internal organizations in the government.
