Document Imaging: eCopy Document Imaging Boosts Microsoft SharePoint 2007 Workflows

Many organizations are finding Microsoft Office SharePoint Server 2007 is driving major efficiencies in enterprise content management and collaboration. However, organizations using Microsoft SharePoint are also finding they are running dual business processes – a fast, efficient process using electronic data and another time-consuming, paper-based process. As a result, the efficiencies gained with Microsoft SharePoint are exposing the inefficiencies of paper-based workflows.

Microsoft SharePoint 2007 users are finding effective collaboration requires the ability for any office worker to scan paper documents and add them to Microsoft SharePoint 2007 repositories. Taking this approach with document imaging software enables the people closest to the actual work processes to decide at what point paper-based information gets added to Microsoft SharePoint.

To address this need, eCopy developed the eCopy Connector for Micorsoft SharePoint, document imaging software that lets any office professional scan documents directly into a Microsoft Office SharePoint Server 2007 or Microsoft Windows SharePoint Services repository from a multifunction printer (MFP) or network-attached scanner.

eCopy document imaging software mirrors the Microsoft SharePoint user experience at the capture device, making the scanning process intuitive and easy. It incorporates the Microsoft SharePoint security model and policies including authentication and access rights settings, protecting information assets and supporting compliance. The document imaging software has zero footprint on the Microsoft SharePoint Server, making it easy to manage from an IT perspective.

eCopy document imaging software supports Microsoft SharePoint 2007 capabilities such as enabling users to navigate through their available sites, libraries and lists, when storing scanned documents. It also supports multiple content types and real-time integration for accurate indexing of scanned documents in Microsoft SharePoint, where they can be accessed immediately by anyone with authority.

"With the combination of eCopy and Microsoft SharePoint, not only have we been able to put current materials online for easy access, we have also scanned much of the past material into an archive," said Dotti Shafer, assistant to the associate vice president for Academic Affairs, West Chester University Office of the Provost. "Since we have to deal with such a large amount of both old and new information, this easy online access has been a huge benefit."

"While Microsoft SharePoint excels in managing electronic content, it doesn't support scanning paper-based information with the MFPs that are readily accessible in many organizations," said Bill Brikiatis, eCopy director of corporate marketing. "The eCopy Connector for Microsoft SharePoint helps fulfill the true promise of SharePoint by effectively utilizing MFPs and scanners to ensure all relevant information is instantly available."
