Data Capture And Exchange: UniGroup Uses Kofax Intelligent Capture & Exchange to Capture And Move Documents Nationwide
Kofax recently announced that UniGroup, the parent company of United Van Lines, has selected the Kofax Intelligent Capture & Exchange as the foundation for a new remote capture solution that has been adopted by more than 70 of its agency owners across the United States.
The solution, developed by ISC Micro, Inc., a Kofax Certified Solutions Provider, will allow UniGroup's agencies to remotely capture more than 10,000-15,000 critical moving order documents for central processing by UniGroup. As a result, UniGroup expects to increase efficiencies, reduce operational costs, minimize human error and streamline its business processes.
"While our previous solution was functional, we saw an opportunity to further reduce costs by developing an effective distributed capture solution that could be easily adopted by our agencies," said Dennis Fickinger, Director of Credit & Collections, UniGroup. "By cutting out some manual front-end steps, we eliminated a serious time lag between the completed moving job and the receipt of associated paperwork plus cut the potential for lost documents or human error. The result is that our internal business processes are better streamlined and integrated with our internal systems to provide enhanced service to our agency customers over other methods."
Located in St. Louis, Missouri, UniGroup provides centralized support functions to all of its operating companies, which provide professional moving services for individuals and businesses nationwide. For every move, there are several documents that must be completed and signed, including order cover sheets, inventory checklists and invoices, to name a few. In addition to the development of the Kofax-based solution, UniGroup offers fax input and drop boxes at select truck stops where the completed forms could be deposited and then picked up for batch processing by a third party.
"Through our longstanding relationship with UniGroup, we've been able to work closely to analyze their business needs and determine solutions to increase efficiency," said Bob Fortner, Sr. Account Executive, ISC Micro. "The Kofax-based solution has been well received and we're finding that most people prefer the speed and control of doing the scanning themselves electronically as the image quality is much better than using a fax image."
UniGroup Agencies See Clear Benefit of Kofax Intelligent Capture & Exchange
The UniGroup solution is based on a bundle of software, hardware and services, the foundation of which is Kofax Intelligent Capture & Exchange, the centerpiece of Kofax's strategic initiative to enable organizations streamline business processes by capturing documents in the front office, where they originate and move them in real time to transactional business processes. Since the Kofax Intelligent Capture & Exchange solution works with many scanners and a wide range of multifunction peripherals (MFPs), it was quickly adopted by UniGroup's agencies, many of which already had MFPs and scanners in house. To date, more than 70 agencies have purchased and deployed the solution across their offices. UniGroup expects adoption rates to further increase in the coming months as the roll-out continues.
"The immediate ROI realized by UniGroup and its agencies underscores the clear opportunity for organizations in the logistics and transportation industry to embrace capture as part of their IT environment," said Rob Klatell, chief executive officer of Kofax's parent company, DICOM Group. "We continue to see exciting opportunities for Kofax Intelligent Capture & Exchange among transaction-intensive businesses across a wide variety of vertical markets, especially where employees are increasingly mobile."
