Considerable Time Savings Prompts City Of Garland, Texas, To Expand Use Of ECM Solution Across Multiple Departments
Hyland Software, Inc., developer of the OnBase enterprise content management (ECM) software suite, today announced that the City of Garland, Texas, the tenth largest city in the state, has expanded its use of OnBase to include the City's Judiciary System, Law Enforcement, Public Works and Administrative Departments. OnBase will now be serving more than 600 City of Garland employees, up from 100 users per the original implementation in the City's Municipal Court Department in 2003.
The City of Garland awarded the contract to DataBank IMX of Ft. Washington, Pennsylvania, a nationwide provider of integrated document management services and a Hyland Authorized OnBase Solution Provider. DataBank IMX initially implemented OnBase, which includes core capabilities in document imaging, workflow and records management, at the City of Garland in 2003 to address the management of approximately 100,000 cases per year.
"Our partnership with Hyland and DataBank IMX has enabled the City of Garland to save a significant amount of time by eliminating the need to retrieve case files manually, thus reducing the amount of time spent with defendants on the phone and at the teller windows," said Rocky Rodriguez, senior systems analyst of Management Information Services for the City of Garland. "Through these efforts, we have been able to shift responsibilities from areas where we had a tremendous amount of duplicate efforts to other areas that we felt needed more attention, all the while making better use of taxpayer dollars."
City to Build Upon Initial Successes
The City of Garland is expanding the use of OnBase beyond its Municipal Court Department to its Judiciary System and Administrative Departments to enhance information sharing between attorneys, judges, court administrators and enforcement agencies within the court; to improve filing accuracy and the ability to manage and retrieve case files and dockets through automated indexing; and to reduce the administrative burden with regard to mandated retention and privacy restrictions.
Within the City of Garland's Law Enforcement Department, OnBase will address Police Department Accident and Arrest Records, Crime Lab and Evidence Reports, Vehicle and Property Release Forms and Jail Intake and Processing documentation.
In addition, the City of Garland purchased the OnBase GeoDox module, Hyland Software's integration with Geographic Information System (GIS) software from ESRI. GeoDox enables users to easily link, retrieve and cross-reference any document stored in OnBase to map features within their ESRI GIS applications. This helps increase productivity by providing a single interface to access documents related to GIS data.
