Cabinet NG's CNG-SAFE 6.2 Boosts User Efficiency, Information Security And Total Return On Investment

Cabinet NG (CNG), provider of document management and workflow software, recently announced the release of CNG Shared Access Filing Environment (CNG-SAFE) Version 6.2. This latest release highlights CNG's commitment to helping organizations emphasize, share and locate information for improved user efficiency. Improved security and greater Return on Investment (ROI) is achieved by centralizing and structuring internal ad hoc communications.

New folder note alerts give users instant notification if there is something special about the folder they are viewing such as specific patient conditions, client payment status, or priority projects. Any information that needs to be brought to the attention of the user can be set as a folder note alert. Details about the alert can be added as part of the note so the user is fully informed without needing to spend additional time researching the particulars.

"With the added capability of CNG's new folder alerts, our clients are able to provide better customer service because they are instantly made aware of any special circumstances without having to review multiple documents," said Travis Rattan, President of Rattan Consulting Inc. "Folder alerts further enhance user efficiency and provide an additional failsafe measure for making sure certain information is not overlooked."

CNG-SAFE's new Quick Search feature trims document search time by over 50% and introduces the ability to perform folder index searching. Quick Search efficiency gains are the result of eliminating the need to specify what cabinets are to be searched when looking for a folder or document in CNG-SAFE. In addition, multiple search criteria can now be entered as a group vs. individually as in previous versions. Quick search automatically searches all indexes when locating a folder or all document title text and/or keywords and other metadata when locating a document. CNG-SAFE unprecedented search capabilities include: structural search, metadata search, quick search, and full text search.

Organizations with 50 or more users typically need to support a more structured approach for handling internal communications that email or instant messaging do not provide. CNG's new messaging features are tightly integrated with other CNG-SAFE capabilities and are sent securely and directly within the system. This provides a secure and efficient way to communicate internally – without paper. The new message mailbox center categorizes message types as Internal, External, or Bulletin board and displays a count of unread/total for each user. Internal messages send a message to another user or group of users; external messages document telephone calls or other messages that come in from outside the company and can be sent to another user or group; bulletin board messages are sent to all users. Messages are easily managed by dragging and dropping between the In, Work, Hold, Sent, or Deleted mailboxes. Users can append messages and have their entries automatically date and time stamped, and also be sent to a printer and/or filed directly into the CNG-SAFE file structure.

New customers who started going paperless using a Windows filing system, can move up to CNG-SAFE quickly and easily. CNG-SAFE's import utility automates the filing process of existing documents located in a standard Windows directory. These documents are easily imported directly into CNG-SAFE and filed in the corresponding cabinet, folder and document separator tab. If a folder does not exist, one will be created at the time of import. The import utility also supports the unique feature of automatically applying both a specified security sensitivity level and retention policy.

Other new enhancements for CNG-SAFE 6.2 include:

  • Accelerated print speed for adobe images and forms
  • Extended user preference settings
  • Advanced administration functions for templates, cabinets and user settings
  • Improved point and click image conversions into searchable pdf document types
  • Added tools to search list results screen, such as export, route, print, and access to folder notes, trace history and indexes

"Businesses need to quickly and accurately locate information and introducing these product enhancements elevates the flexibility users have to accomplish their tasks," said Andrew Bailey, President of CNG. "CNG believes in the voice of the customer and thanks its strong base of CNG-SAFE users for their participation in helping define the market requirements for this release."
