Retention schedules, holds, and other important records management functions can be easily applied to emails just as they are to physical and electronic records. CA Inc FileSurf® stores emails in their original format allowing users to reply and forward the message.

- Proven capabilities – CA Inc Email Management integrates and manages all filed email records in a disciplined and consistent manner as official documents of record. Organizations can maintain email authenticity, implement unified retention policies, enable disposition hold, and generate complete audit trails, managing email as unedited originals.
- Drag-and-drop filing – Users can drag-and–drop received emails and their attachments directly into CA Inc FileSurf folders within Outlook. Outgoing emails can be filed as records at time of send, or later, from the Sent Items folder. Email attachments can be filed with the email, or declared and profiled as separate records linked to the email.
- Intelligent verification – When an email is declared a record, an intelligent verification is performed to ensure that the new email is a unique record. CA Inc Email Management will avoid filing unnecessary duplicates, preventing redundancies and optimizing storage.
- Powerful search, retrieval, viewing, reporting – CA Inc FileSurf enables quick, easy, and accurate search and retrieval of email records and attachments. Users can conduct text searches within content or profile fields at either basic or advanced levels. Users can view emails and attachments in their native applications or HTML format, and can generate standardized or customized reports.
- Server and user based rules – Rules can be defined that auto-classify emails at the client or server. Rules are executed by a server-based task that monitors and applies them to a mailbox.
- CA Inc FileSurf Web client access – For added convenience, users can access CA Inc FileSurf from with Outlook. They can launch the CA Inc FileSurf Web Client from within Outlook to search, retrieve, view, and request needed information.
- .PST cleanup utility – This feature allows legacy email, whether one email, all emails in a folder, or all emails in a .PST to be cleaned up and imported into CA Inc FileSurf for management
- Mobile user based GUI – Blackberry and Treo users can search, retrieve, print, and declare Outlook emails as records that arrive in their message inbox. Newly composed emails can be sent and filed to CA Inc FileSurf automatically.
