AccuRoute® by Omtool

AccuRoute® is a modular, scalable enterprise document delivery and management application consisting of a core server and desktop software with a robust feature set that serves as both a paper on-ramp and a messaging based digital document exchange system. Optional system components add document security and world class enterprise fax to an already robust platform. Why purchase, install and maintain separate, scan-to-archive or secure mail or fax systems when AccuRoute provides all of this functionality, in a single Windows Server based, MMC managed system.
AccuRoute provides a single, easy to use interface for virtually any scan-enabled digital copier, multifunction device or fax machine to seamlessly connect the world of paper documents with the electronic world of today's digital office. The AccuRoute desktop allows users to define document routes and destinations from the privacy of their own desktop -- so they can take advantage of the document capture capabilities of hallway devices without changing the way they work.
One scan and documents can be:
- converted to PDF or SEARCHABLE PDF format
- routed to a list of recipients via Fax or E-Mail or Secure E-Mail in any combination
- archived - to a network file store or FULLY PROFILED to the resident document management system
- printed on any network printer
The key is the AccuRoute Intelligent Routing Form - a paper routing form -- much like a mail distribution sheet, created and printed by the sender using the AccuRoute desktop.
AccuRoute does not require purchasing, installing and learning to use additional screens, keypads or components added to existing hallway multifunction devices, or "proprietary" scanners to make paper fly. In fact there is no need to stand at the hallway digital copier picking through menus, while a queue forms.
AccuRoute users select recipients, delivery channels, and archive requirements from the comfort and privacy of their workstation, creating the Intelligent Routing Sheet that when combined with the document and scanned once executes the desired document conversion and routing actions flawlessly.

Meeting regulatory requirements with AccuRoute
AccuRoute's capability to electronically archive documents makes it ideally suited for complying with regulatory mandates that documents be preserved. It's never been easier than now. With AccuRoute, any paper or electronic document can be easily routed to a network file store or document management system. The system's ability to convert documents to searchable PDFs turns paper documents into easily accessible, retrievable and manageable electronic documents.
When AccuRoute archives a document to the DMS, instead of the file entering the repository with a generic profile (a dangerous habit to develop), the system brings the user to the actual profiling screen as part of the document routing instructions before being scanned and sent to the AccuRoute server for delivery as a file. This encourages users to accurately describe or profile the document before archiving (a very good practice to encourage). Other features such as content encryption, sender and recipient authentication, transaction tracking and recipient authorized delivery help to protect and secure documents whose contents are covered by laws such as HIPAA and Sarbanes-Oxley, and are available as options to the core AccuRoute product.
