Oregon DHS Derails H1N1 Spread By Automating Flu Vaccination Tracking

Datacap, the pioneer in advanced data and document capture software solutions, announced recently the implementation of a custom data capture solution, enabling the Oregon Department of Human Services (DHS) to track all aspects of H1N1 vaccinations from distribution to inoculation.

Even before the first warning signs of a potential H1N1 pandemic were seen, DHS Oregon Department of Human Services had the foresight to create a plan to quickly and properly distribute vaccinations to the citizens of Oregon and neighboring states.

The solution was designed and implemented by Datacap partner Cutting Edge Solution (CES) of Kansas City, Missouri. "We were ready to install a solution for DHS to capture healthcare enrollment and vaccination forms when H1N1 started to make news," said Jameson Nunn, CES co-founder. "It wasn't hard to switch gears and prioritize the H1N1 plan. We had DHS up and running just as the first batches of vaccination were starting to arrive."

DHS designed a form to be distributed with the H1N1 vaccine to the hundreds of regional clinics and hospitals. "CES was given the opportunity to create a Datacap Taskmaster system to automate the data entry process. This allowed all H1N1 vaccination forms to be preprinted with unique codes for each clinic as well as batch ID numbers for the vaccine itself. All aspects of the process were tracked and captured," said Nunn.

The Datacap software solution automatically extracts the vaccination data off the scanned forms. As a result, the information is automatically captured and the paper document is converted to a digital record allowing for more efficient record keeping as well as storage and retrieval.

This thorough and rapid data collection allows DHS to not only keep an accurate record of all vaccines, but also allows them to build forecasts and strategies for future planning and possible outbreaks.

The tracking also allows DHS to ensure the proper target groups receive the H1N1 vaccine. "Through the use of the Datacap advanced capture features, it allowed DHS to capture and track patient statistics to ensure the most vulnerable get priority in vaccinations. The initial target groups for vaccination include healthcare workers, pregnant women, children, etc.," said Nunn.
