Kodak And Digital Records, Inc. Digitize Millions Of Patient Records In Record Time For White-Wilson Medical Center

Digital Records, Inc. (DigiRecs) recently used the KODAK i4000 Series Scanners to convert more than 12.5 million images from paper-based patient records into usable, discrete digital information for White-Wilson Medical Center, P.A.

BELTORA Capture Software, developed by DigiRecs, used images captured by KODAK Scanners to convert, manage, and integrate patient information into White-Wilson's electronic medical records (EMR) solution, Greenway's PRIMESUITE Software application.

"Kodak and Digital Records, Inc. helped to sever our dependence on our paper charts much faster than we had anticipated. The KODAK i4600 Scanner allowed us to convert two years of paper-based patient records into digital information within just a few months' time," said Mark T. Wiacek, Director, Information Services at White-Wilson Medical Center, one of the largest, multi-specialty physician groups on Florida's Emerald Coast. "The updated system allows more than 70 physicians to quickly and efficiently access all archived patient data electronically while using methods that mimic the former paper-based processes."

White-Wilson Medical Group's practice disciplines include neurosurgery, pediatrics, gastroenterology, urology and other specialties. Specific medical disciplines often require and generate unique sets of information and documents. Digital Records' conversion expertise paired with the KODAK i4000 Series Scanners helps mid-sized and larger health care practices improve the management of information sources and automate related business processes to better prepare patient information for release into third-party software applications.

"The KODAK i4200 and i4600 Scanners were absolute workhorses throughout the project and performed above expectations," said Edwin Almetes, Chief Development Officer, Digital Records, Inc. "In addition, the KODAK Service and Support team provided fast, professional services to help whenever needed during the records conversion process. Saying that I am ‘impressed' is an understatement, in light of the huge number of images that we processed in such a short timeframe."

Digital Records, Inc. also assisted in a strategic placement of the newly released KODAK i2000 Series Desktop Scanners to assist the Center with handling day-forward paper document conversion into electronic information.

"The success of EMR systems heavily depends on the ability of physicians' practices to import scans from a wide variety of disparate, paper-based information, including patient charts, reimbursements, and accounts payable and receivable," said Allan German, Executive Vice President of Healthcare Sales, Digital Records, Inc. "Digital Records' custom digital workflow solution, BELTORA, combines business improvement methodologies with high-level digital workflow processes. Coupled with the i4000 Series Scanners, our document conversion services team successfully converted more than twelve million images—representing approximately 125,000 patient charts—in less than ten weeks; an unusual feat within our industry."

Medical center staff can use DigiRecs' software to achieve scanning, conversion and records management services. BELTORA Workflow enables medical centers to meet compliance standards, decrease errors, simplify their overall business processes and accomplish quality control demands automatically. Digital Records' custom digital workflow solutions and capabilities make it easier for health care centers to import their information into EMR solutions, enterprise content management (ECM) systems and other health care applications.

"Customers in the health care field continue to use Kodak's efficient and reliable scanning technology to improve the digitization of paper-based information, to meet their digital transformation requirements, providing more efficient business processes," said Jody Miller, Business Development Director, Health Solutions, Document Imaging, Kodak's Business Solutions and Service Group. "Kodak works with a strong network of industry partners and channel developers that help to facilitate this exchange of information. Physicians' practices and others can use affordable, practical solutions that enable greater business efficiency for managing patient data."

The KODAK i4000 Series Scanners are designed to help end users cost-effectively automate higher volume document capture. The series combines productivity, ease of use and one-touch scanning with Kodak's Smart Touch Feature and simplifies integration with new or existing document management processes. Embedded software capabilities enabled by Kodak's Perfect Page Technology deliver enhanced image quality, which helps to prepare scanned documents for use within.

The KODAK i2000 Series Scanners serve as desktop scanners that help users to achieve more at the point of capture by offering numerous benefits in productivity and efficiency. Like the i4000 Series, the i2000 Series provides a powerful solution that is easy to use, reliable, and provides exceptional image quality through Kodak's Perfect Page and Smart Touch Technologies, enabling up to nine pre-defined scanning destinations. The i2000 Series is also backed by a three-year worry-free warranty for customers.
