Increasing Records Management Efficiency With Distributed Scanning
Case Study: T-Mobile
T-Mobile USA, the leading wireless service provider, was formed in 2002 from the merger of VoiceStream Wireless and Powertel, Inc, which were also the result of merger and acquisition activity following telecom deregulation. T-Mobile, with headquarters in Bellevue, Washington, inherited 14 facilities around the country, which are now used as regional call centers. With 26,000 employees nationwide, T-Mobile needed a streamlined solution to capture a wide variety of Human Resources documents and input them into their FileNet content management system.
T-Mobile wanted enterprise-wide control and secure access of employee documents with FileNet, but they also wanted each call center to maintain its own hard copies of employee records. If each local center copied and shipped the paper, it would entail exorbitant shipping costs, not to mention the compliance issues of having multiple copies of sensitive employee information. Therefore, T-Mobile embarked on a quest to find a distributed capture solution that would let them scan documents locally and upload them to their dedicated imaging center in Bellingham, Washington, just up the road from the Bellevue headquarters.
After reviewing several competing solutions, T-Mobile selected Datacap Taskmaster, with its Taskmaster Web browser-based option for scanning and verification over the Internet. The solution features two Bowe Bell Howell Spectrum 8125 scanners in Bellingham, where the majority of scanning is done, and 14 Ricoh desktop scanners to image-enable each call center.
