Lockbox Cuts Costs By 15% With Mixed Mail Solution

Source: OPEX Corporation

This case study from OPEX Corporation takes a look at Bill2Pay, a remittance processing service provider with a wide range of government and commercial clients. Their two locations in Florida process over 30 million payments annually for over 70 clients. Their previous lockbox operations included 6 Agissar mail openers, 4 NCR high capacity image transports, and 2 Fujitsu full page scanners. Bill2Pay used a 2-pass system to process mail, with documents going through a mail opener and then through an image scanner, meaning they had to be handled multiple times. This process was inefficient and Bill2Pay wanted newer technology that would reduce mail handling and improve efficiency and capacity so they could expand their business.

The solution for Bill2Pay came in the form of standardization on OPEX high-speed mailroom automation and document imaging equipment. With a single workstation performing mail opening and image scanning functions, work was able to be completed in a single pass. In addition to the equipment, Bill2Pay updated their remittance processing software, ExpertRPS, to support mixed mail processing. This removed the need to pre-sort and prep mail prior to opening and scanning and once the items are scanned, ExpertRPS automatically determines the type of document, splits the mail stream into discrete transactions, and routed them for processing.
