When the facilities of a major records-management provider were hit by fire earlier this year, destroying the critical documents of hundreds of customers, it sent shock waves among all companies that are outsourcing – or considering outsourcing – the storage and management of paper documents.

These companies should be worried. From a risk management perspective, a paper document creates a single point of failure. Lose it, mangle it or misfile it and sorting out the resulting mess can take a huge amount of time. Growing regulation and compliance requirements are also forcing companies to deal with the build-up of paper archives.

It's time we face the facts. Simply outsourcing paper storage is not a secure solution for archiving key business information. A sound disaster recovery and business continuity plan is critical to protect the well being of an organization. When it comes to documents, that plan should begin with electronic archiving.

The best and most cost effective solution is to outsource all paper processes through document imaging and archive, powered by high-volume scanning and intelligent document management systems. Luckily for today's decision-makers, document-based processes lend themselves readily to outsourcing. Once a document is scanned into a document management system, retrieval is fast, easy and efficient. Most systems offer multiple methods of indexing, or classifying, information that allow users to quickly sort large volumes of data to find the right document.
