Each day large volumes of charity donations are mailed to the Valldata processing centre in Melksham, Wiltshire. During the course of 2006 Valldata will have received in excess of six million donations, as well as a significant amount of returned mail and goneaways.

The responses can contain a range of contents including the donation itself, remittance slips, direct debit forms and a variety of coupons, applications and other customer completed documents, all of which have to be processed as quickly and as accurately as possible.

A number of tasks need to be performed, many of which are highly manual and time consuming. Every cheque, direct debit, postal order, and sometimes even cash, must be dealt with and cleared without delay. In addition, each document and form returned with the donation has to be processed to capture the customer data, and the documents matched back with the payment. This is to ensure that all information about the donator is collected for further analysis and a complete audit trail created.
