Case Study: Making The Grade With Enterprise Content Management

The Manteca Unified School District employs hundreds of teachers to serve more than 23,000 students across 30 schools. To support the volume of documents needed to effectively operate an educational system of this size, the district filled two 960 square-foot classrooms, plus warehouse space, with filing cabinets. The filing cabinets took up space and made it very easy for important documents to get buried in the archives. In addition, each week the school board was spending money and time on paper-intensive projects such as printing, assembling and distributing meeting agendas.

Facing new budget constraints, the Manteca Unified School District knew that it had to modernize its infrastructure to save time, money and valuable school real estate. Xerox's DocuShare enterprise content management (ECM) system was installed to automate the school board's agenda process, turning hard copy documents into digital files that can be accessed from any computer inside or outside the school district. The new process completely eliminated the need to print hard copy agendas each week. Reams of paper were not the only thing saved in this process; the superintendent's administrative assistant immediately regained two days out of each work week to focus on other tasks.
